Privacy policy

Who we are

LithHQ is a Discord bot and dashboard for MapleStory Classic guilds, run by 18Chai LTD. Questions and requests go to privacy@lithhq.com.

What we store

• Your Discord user id, so your entries are linked to you.
• Characters you or an officer type in: in-game name, job, level, and alts.
• Run sign-ups (going, maybe, bench) and the attendance snapshot taken when an officer completes a run.
• Recruitment applications: name, job, level, your note, and the officer's decision.
• The timezone you set with /timezone.
• Party-finder posts from /lfg: what the party is for, the note, and who joined. They close after two hours.
• If you sign in to the dashboard: your Discord name and avatar in the sign-in cookie, and Discord sign-in tokens, encrypted on our server, so the dashboard can check which servers you belong to. The list of your servers is held in memory for about a minute and is not saved.
• For each server that sets the bot up: the server id, guild name and world, officer role, announcement channel, timezone, and the member and class roles the bot keeps in step with the roster.

What we do not collect

The bot does not read messages, member lists, or presence, and it never connects to the game. Everything about characters is typed in by people.

How it is used

Only to run the roster, runs, reminders, recruitment, and dashboard for the guilds you are in. Officers and admins of a server can see that server's data. A guild's public page shows its name, world, roster size, and upcoming runs, not individual players. We do not sell data or use it for advertising.

Where it is kept

Guild data and dashboard sign-in tokens are stored in Postgres hosted by Supabase (Supabase, Inc.), which is a subprocessor. The database does not live on the server that runs LithHQ. The Supabase project region is Ireland (AWS eu-west-1). That value is copied from the Supabase project settings. This page does not guess a region.

Supabase keeps backups of that database under the settings of the Supabase project. Those settings can change, and this policy does not promise a retention period, a backup frequency, or a restore point. LithHQ does not keep a second copy of the Supabase database.

Other processors

• Discord (Discord Inc.) delivers bot commands, messages, and reminder DMs, and handles dashboard sign-in. If a server buys premium, Discord also processes that payment. Discord's own privacy policy covers what Discord does with that data.
• Cloudflare (Cloudflare, Inc.) provides DNS and the HTTPS proxy in front of the website. Requests to the site pass through Cloudflare before they reach the server. Cloudflare does not host the database.

Deleting your data

Run /delete-my-data in any server with the bot, or in a DM with it. It removes your roster entries, alts, sign-ups, attendance, applications, timezone, and dashboard tokens from the live database in every server at once. Signing out of the dashboard deletes your sign-in tokens. Copies that may remain in Supabase backups are removed on Supabase's schedule, which this policy does not state as a fixed number of days. You can also email privacy@lithhq.com to ask what we hold or to have it removed.

Changes

If this policy changes, the date at the top changes with it.
